International Cleft Care Conference – Guidelines for Committees and Participants

Committees

Scientific Committee

The Scientific Committee oversees the academic content of the conference.

Eligibility:

  • Members must have been active in the Society for at least six months prior to the conference.
     

  • Selection is based on experience, contributions to society activities, publication record, and expertise in the field.
     

Responsibilities:

  • Review, approve, and schedule conference lectures, workshops, and live surgery sessions.
     

  • Ensure a balanced program across all specialties, considering the number of submissions and session formats.
     

  • Members are expected to submit and present at least one lecture or session

 

Organizing Committee

The Organizing Committee manages operational, logistical, and promotional aspects of the conference.

Responsibilities:

  • Serve as the primary liaison with sponsors, vendors, and local authorities.
     

  • Ensure compliance with local regulations, permits, and safety requirements.
     

  • Publicize the conference, manage media relations, and coordinate social media, press releases, and participant communications.
     

  • Support the Steering and Scientific Committees in scheduling and coordination of sessions.
     

 

Faculty (Speakers, Chairpersons, Moderators, Panelists)

Speakers:

  • Speakers are responsible for delivering their lectures, workshops, or live surgery sessions as listed in the official program.
     

  • Substitutions require written notice to the Organizing Committee at least two months prior; without written notice, all submitted information is considered final.
     

Chairpersons and Moderators:

  • Selected by the Steering Committee from active Society members presenting at the conference.
     

  • Each session should have at least one chairperson and one moderator to ensure smooth coordination.
     

  • Sessions may include multidisciplinary panels when appropriate.

The conference is designed to be multidisciplinary, including but not limited to:

  • Maxillofacial Surgery
     

  • Plastic Surgery
     

  • ENT Surgery
     

  • Pediatric Surgery
     

  • Dentistry and Orthodontics
     

  • Prosthodontics
     

  • Speech Therapy
     

  • Audiology
     

  • Allied Medical Professionals (nurses, anesthesiologists, geneticists, social workers, and other relevant healthcare providers)
     

 

Session Types

The conference program consists of:

  • Lectures – Expert-led presentations on current trends, clinical updates, and research findings.
     

  • Workshops – Hands-on training in clinical techniques and procedural skills.
     

  • Live Surgery Demonstrations – Real-time surgical demonstrations with commentary for educational purposes.
     

  • Panel Discussions – Multidisciplinary dialogue on complex cases, treatment planning, and innovation in cleft care.
     

 

Attendees

  • Must be 18 years or older. Exceptions require written approval from the Organizing Committee.
     

  • Attendance is voluntary and may involve some risk related to medical or procedural demonstrations. Participants assume full responsibility for their own safety and property.
     

  • Smoking, alcohol misuse, and weapons are strictly prohibited inside the venue.
     

Accommodation and Session Halls

  • Complimentary hotel accommodation may be provided to invited speakers, depending on availability. Family members or accompanying persons are not covered.
     

  • Hotel rooms are non-refundable and non-transferable.
     

  • Attendees are responsible for incidental expenses.
     

  • Room assignments may prioritize international speakers, women, or other specific requirements.
     

  • “No-show” reservations will incur charges equal to 100% of the room rate for each night booked.
     

  • The Society is not responsible for lost, damaged, or stolen personal items.
     

  • Food and beverages may only be brought into the venue with prior authorization from organizers.
     

Accompanying Persons

  • Accompanying persons may attend social programs but cannot access scientific sessions without separate registration.
     

  • Registration and fees for accompanying persons are handled individually.
     

  • Children under 18 are not permitted in scientific sessions or live surgery demonstrations.
     

All accommodation, meals, and incidentals for accompanying persons are the responsibility of the attendee they accompany.
